A lot of small landlords burn themselves out trying to be available every minute of the day. They answer every text immediately, take routine calls during dinner, and feel guilty if a minor repair waits until the next business morning. After a while, the rental starts to feel less like an investment and more like a pager you can never turn off.
Welcome back to “Ask a Property Manager.” Today we are talking about the difference between being responsive and being on call all the time.
The Myth of Immediate Action
Good service does not mean every request gets handled the moment it arrives. If a tenant sends a message at 9:00 PM because the dishwasher is making a strange noise, there is usually nothing gained by trying to line up a repair that night.
You can acknowledge the request without turning it into an emergency.
When routine messages get an instant response at all hours, tenants naturally start to expect that level of access. That can become hard to maintain, especially if you have more than one rental, a full time job, or a family that would also like your attention.
Being responsive means the tenant knows the request was received, understands what happens next, and has a reasonable idea of when they will hear from you again.
Defining the Emergency
The first step is deciding what you consider an emergency and making sure your process lines up with the lease, the condition of the property, and any legal obligations that apply. Keep the list short and practical.
An active water leak, a gas odor, a serious electrical hazard, or another condition that threatens people or the property needs immediate attention. A complete loss of cooling during extreme South Texas heat also deserves fast attention. The exact response will depend on the situation, but those calls are different from routine repairs.
A dripping faucet, a noisy appliance, a loose cabinet hinge, or a routine cosmetic issue can usually wait until normal business hours.
Explain the difference before there is a problem. Put emergency instructions in the move in information and tell tenants where routine maintenance requests should go. Clear expectations prevent a lot of late night confusion.
The Power of the Auto Reply
A business phone line, tenant portal, or simple auto reply can also help. The tenant should receive confirmation that the message arrived even when you are not personally answering it at that moment.
A simple response might say: “Thanks for sending the maintenance request. We review routine requests during normal business hours and will follow up on the next business day. If there is an active leak, gas odor, fire, or another immediate safety issue, please use the emergency contact instructions provided at move in.”
That message does not brush the tenant off. It tells them the request is in the system, restates the boundary, and gives clear direction if the situation is truly urgent.
Managing the Timeline
The same idea applies once the workday starts. A running toilet reported Monday morning should get a response, but that does not always mean a plumber will be standing at the door by lunch.
You can say: “I received the request about the toilet and sent it to our plumber. They should contact you within the next two business days to schedule access. I will follow up if the schedule changes.”
That is responsive. The tenant knows the request is moving, and you have given the vendor room to schedule the work without pretending every repair is an emergency call.
Reclaiming Your Time
Most landlords did not buy rental property because they wanted to spend every evening watching their phone. Clear business hours, a written maintenance process, and a real emergency procedure let you take care of tenants without giving up every hour of your day.
Be easy to reach when it matters. Be consistent the rest of the time. That is usually better for the tenant, the vendor, and the landlord.
