Managing one rental through a San Antonio summer can keep you busy. Managing several spread from the northwest side to Converse, Schertz, New Braunfels, Seguin, or farther south will expose every weak spot in your system.
I learned this the hard way when my portfolio grew faster than my operating habits. The same informal system that worked with three houses became a mess with ten. I was driving across town for air filters, answering maintenance texts from parking lots, and trying to remember which tenant needed a plumber and which property was waiting on an appliance.
Once the portfolio grows, summer cannot be managed by working longer hours. You need repeatable systems that keep you from wasting time on the road or rebuilding the same process at every house.
Group Work by Geography
Drive time is one of the easiest expenses to ignore because it does not show up as a separate invoice. Around San Antonio, a short trip on the map can turn into a large part of the afternoon, and a property in New Braunfels or Seguin can change the whole route.
For non-emergency work, I group properties into zones and try to schedule vendors by area. If the handyman already has two stops near Alamo Ranch, I would rather add a loose gate latch nearby than send somebody across the metro for one minor repair.
The tenant still gets a clear service date. The difference is that you are scheduling the work instead of letting every request dictate your route.
Standardize Every Turnover
Summer turnover gets dangerous when you rely on memory. One house needs a rekey. Another needs an irrigation controller programmed. A third has a garage remote, HOA gate access, and a different air filter size. If the process lives in your head, something will be missed.
Use the same turnover checklist at every property, then add the house-specific items underneath it. Locks, smoke alarms, cleaning, HVAC check, appliances, condition photos, utilities, keys, remotes, mailbox information, and move-in documents should all have a place.
I also standardize the tenant handoff. Every new tenant gets the same core digital packet, but the property guide is specific to that house. A rental in Stone Oak should not receive the same irrigation and parking instructions as a rural property south of town.
Delegate the Work That Does Not Need You
A growing portfolio will punish a landlord who insists on doing every small task personally. Your time should go to decisions, tenant issues, leasing, vendors, and money. It should not disappear into mowing a yard or driving across Bexar County to replace a filter.
Build a dependable bench of vendors for landscaping, make-ready cleaning, handyman work, HVAC, plumbing, and the recurring jobs that show up every summer. You do not need a huge vendor list. You need a few people who answer the phone, know your properties, and understand how you want work documented.
Paying for reliable help can feel expensive until you compare it with a vacant house, a missed move-in, or half a day lost to errands.
Use One Inbox
The more properties you own, the less room you have for scattered communication. Tenant texts, personal email, voicemails, and sticky notes will eventually make you miss something.
Pick one primary place for tenant communication and maintenance requests. If a tenant texts about a routine repair, redirect them to the portal or business email you use for tracking. The point is not to be difficult. The point is to make sure the issue enters the same system as every other property.
Run the Portfolio, Do Not Chase It
High season gets easier when every house follows the same basic operating rhythm. Group the route, use the checklist, delegate the repetitive work, and keep communication in one place.
That is how you manage ten properties without treating every day like ten separate emergencies. The portfolio should get more organized as it grows, not more dependent on how much you can remember while sitting in traffic.
